Handle incoming enquiries
An enquiry is someone on your website who filled in a form rather than completing a quote. There is no quote behind it and no price — just a person who wants to hear from you.
Find them under Sales Pipeline → Enquiries. If it is not there, your account does not have the Data (All) permission.
Where enquiries come from
Three of the widgets you can put on your website create enquiries. Setting them up is covered in Widget Studio; this page is about what to do once they start arriving.
| Widget | When it creates an enquiry |
|---|---|
| Contact Us Form | Every submission. |
| Fixed Package | Every submission, recording which package the person was looking at. |
| Quote Launchpad | Only when your customer could not find their address. |
That last one is worth understanding. Quote Launchpad normally sends people straight into a quote tool, and those appear under Instant Quotes, not here. An enquiry from a launchpad means your customer could not find their address, and a note saying so is added to the end of their message. A run of them is worth noticing: each one is somebody who wanted a quote and could not get as far as starting it.
What happens when one arrives
- Your team is emailed. The notification goes to whichever address your account has set up for enquiry notifications, with the enquiry details in the body.
- A contact is created if they gave an email address, so the person is immediately searchable under Contacts.
- Your customer hears nothing. Simplified does not send them an acknowledgement. As far as they know, the form may not have worked, so the sooner you reply the better.
Work through the list
The list shows ID, Type, Date, Name, Email, Address, and Postcode, newest first. Type tells you which widget it came from, and Date is when the enquiry was last updated rather than when it arrived.
Type into Search... to match the enquiry reference, first name, last name, or email address. It does not search the message, the address, or the phone number. There are no filters and no sort control.
Click a row to open it. You get the date it arrived, the name, the email address, the address and postcode, the message, and whether they ticked your opt-in box. For a Fixed Package enquiry you also get the package name.
The name is a link through to their contact record. Use it — the phone number is not shown on the enquiry itself, so if they left one and you want to ring rather than email, that link is how you get it.
There is no follow-up tracking
Enquiries are a record of what arrived, not a workflow. There is no status, no way to assign an owner, no notes field, no way to mark one as handled, and no button to turn one into a quote or a proposal. You cannot reply from inside Simplified either.
So the list tells you what came in, never what your team did about it. If you need that recorded, it has to live somewhere outside Simplified.
Two things you can do:
- Quote them. Once you know what they want, create a quote on their behalf. Because they already have a contact record, you can start from it and their details are filled in.
- Clear it down. Select rows and click Delete in the Actions: row once an enquiry has been dealt with. The confirmation warns that this is irreversible, and the enquiry is removed from your list for good. Deleting the enquiry does not touch the contact or any quote you raised from it.
Export
Export to CSV gives you the enquiry reference, timestamps, name, email address, phone number, address, postcode, message, and opt-in — more than the screen shows, so it is the quickest way to get a batch of phone numbers.
It exports the page you are currently looking at, up to 500 records, honouring any search you have typed. If you have paged forward, earlier pages are not included. Go back to the first page before exporting if you want the lot.
Check it worked
- Submit a test enquiry through your own website form.
- Confirm the notification email arrives, then reload Enquiries and confirm the row is there.
- Click the name and confirm it opens a contact with the details you submitted.
