Find and follow up on instant quotes
Every quote your customers generate lands in the Installer Portal, whether they finished it or abandoned it halfway. This page is about getting to the one you want and doing something useful with it.
Before you start
- A quote only appears in your list once it has an address. Someone who opened a quote tool and left before entering a postcode leaves no trace here.
- Depending on how your account is set up, you may see every quote in the business or only the ones you created. If your list looks emptier than you expect, ask whoever manages your account.
Find a quote
-
Go to Sales Pipeline → Instant Quotes and choose the product: Solar Quotes, Battery Quotes, Heat Pump Quotes, Boiler Quotes, Air Con Quotes, or Commercial Solar Quotes. Each product has its own list — there is no combined view, so if you cannot find a quote, check you are on the right one. Only the products your account offers appear.

-
Note the filter you arrived with. Opening a quote list from the sidebar applies the Has Contact Info status filter, so you see only quotes you can actually contact someone about. Remove that badge to see everything, including anonymous quotes.
-
Type into Search... to match a quote reference, your customer's first name, last name, email address, or phone number, or the property address or postcode. It does not search package or product names.
-
Use Sort by to reorder. The default is Updated (Newest to Oldest); you can also sort by Created (Newest to Oldest), Last Name (A to Z), or First Name (A to Z).

What the status tags mean
The Status Tags column is not a pipeline. A quote carries every tag that currently applies to it, so one quote can be Saved, Has Contact Info, and Created by End User all at once.
| Tag | What puts it there |
|---|---|
| Has Contact Info | The quote is linked to a contact — either your customer entered their details, or someone on your team set a recipient. |
| Saved | Your customer saved the quote to come back to later. |
| Help Requested | Your customer asked for help from inside the quote tool. |
| Appointment Requested | Your customer asked for a survey or callback, or booked a slot through your connected calendar. |
| Completed | Your customer accepted the quote. |
| Created by End User | Your customer started the quote themselves in one of your quote tools. |
| Created by Admin | Someone on your team created the quote in the Installer Portal. |
| Ready For Customer | Someone on your team marked the quote ready. Only appears if your account has this turned on. |
| Archived | The quote was deleted. Hidden from your list unless you filter for it. |
Quotes also carry a tag recording which version of the roof editor built them — Solar V2, Solar V3, or Commercial Solar V3. That matters when Simplified support asks, and rarely otherwise.
To filter, click Status Filters, tick what you want, and click Apply. Selecting more than one narrows to quotes carrying all of them, not any of them — so Saved plus Appointment Requested finds the short list of people who did both, not everyone who did either. Remove a filter by clicking the cross on its badge.
Track follow-up with labels
Quotes have no notes field and no owner, so labels are how a team keeps track of who needs chasing.
- Tick the quotes you want to mark.
- Click Labels in the Actions: row, or right-click a row.
- Tick the labels you want and click Apply. This replaces whatever labels those quotes already had, rather than adding to them.
Filter by them afterwards with Label Filters, which matches quotes carrying any of the labels you pick. The button only appears once your account has at least one quote label.
Labels themselves are created under Settings → Labels, which needs account setup access. If you cannot see Settings, ask whoever set your account up to add the labels your team wants.
Follow up on a single quote
Click a row to open the quote. You are looking at the same quote tool your customer used, with your own controls along the top:
- Summary shows the reference, who created and last updated it, the chosen package and price, your customer's contact details and address, any survey appointment, any message they left, and the deposit.
- Last updated is a link. Click the timestamp to open the Activity log and see what has happened to this quote.
- Followers is a list of email addresses on your team who get notified about this quote. It does not email your customer.
- Share gives you the quote's public web address and the email tools below.
To email your customer about the quote, open Share, choose General quote template, edit the message in Compose email, and click Send. The quote needs a recipient first — without one you see Set a recipient first to send quote emails. and the template is greyed out. Set one under Recipient.
If your account has it turned on, Share also offers Mark as ready for customer. This is a signal for your own systems, usually driving an automation in your CRM. It changes nothing about the quote itself.
Turn a quote into a proposal
When a job needs more than a price, use the row's action menu and choose Create proposal. You can also select several quotes first to pull them into one proposal. Confirm with Create proposal and you land in the proposal editor.
Export and delete
Export to CSV downloads the list exactly as you have filtered it, up to 500 records.
Delete removes selected quotes from your list. The confirmation warns that it cannot be undone, and there is no undo button — but deleted quotes are not gone. Tick Archived in Status Filters to see them again.
Check it worked
- Apply a status filter and confirm the badge appears above the table and the row count drops.
- Open a quote and confirm the Summary details match the customer you expected.
- If you sent an email, check the Activity log on that quote for the record of it.
